  1. The quote, the worksheet, the contract: a template with your logo and your clauses, its variables read from the record, its signature block already bound to the signer. Nothing is placed by hand on a PDF.

  2. The invitation goes out from the record: by email, by SMS, by WhatsApp, or handed over on your phone. Signers in order, a second one invited when the first has signed, a reminder after three days, an expiry date.

  3. A simple signature for a worksheet, an advanced one with an SMS code for a quote, a qualified one for what the law asks it of, through itsme in Belgium ⟨to confirm⟩. The level is a property of the template, not a choice the signer makes.

  4. Every event on the envelope, timestamped: sent, opened, code verified, signed, countersigned, sealed. The audit trail and the sealed PDF are attached to the record, not to a mailbox.

  5. The quote is accepted, so the project is created. The worksheet is signed, so the invoice is drafted. The offer letter is signed, so the hire is confirmed and onboarding starts. Nobody carries a status back by hand.

The quote template, the worksheet template, the offer letter: the signature block and the variables sit on the template, so a new document needs nothing placed by hand.

Draw it, type it, or upload the scan. The signer chooses on the page; the level is not theirs to choose.

Signing order and reminders

The second signer is invited when the first has signed. The reminder is a rule on the envelope, not a Thursday chore.

A one-time code by SMS before the stroke, when the template asks for it. Who signed is then a verified phone number, not a guess.

The proof file on the record

The sealed PDF and the audit trail, attached where the document came from, readable by whoever can read the record.

What adapts: which record produces the document, who signs it and in what order, through which channel, at which level, and what the record does once it is signed. An installer and a recruitment agency run Sign and disagree on every one of those.

An installer, on site

The document is the worksheet, generated from the intervention. The client signs it in person, on the technician's phone, with a simple signature, before the van leaves. The proof file lands on the intervention, the intervention becomes signed, and the invoice is drafted from it.

A recruitment agency, across two desks

The documents are the offer letter and the placement contract, generated from the hire. The candidate signs the letter by email with an SMS code; the client signs the contract once the candidate has. Both are advanced signatures. The hire becomes confirmed, onboarding starts, and the placement fee is on the next invoice.

What the signed document starts.

A signature tool returns a signed PDF. Here the signature returns to the record that produced the document, and the record does what a signed record should: the accepted quote opens a project, the signed worksheet drafts an invoice, the signed contract confirms a hire, and the accountant reads what is signed but not yet invoiced without asking anyone.

The invitation opens on whatever phone it reaches: the client reads the quote, enters the code, signs with a finger. On site it is the other way round: the technician hands over his own phone, the client signs the worksheet on it, and the office sees the intervention turn to Signed before the van has left the street.
